Lot Transactions

A Lot Transaction carries certificates and quality data for one manufacturing lot, delivery or set of serial numbers: inspection certificates such as EN 10204 3.1, test reports, chemical composition, mechanical properties. It always links to a manufacturing lot, which is what makes the data traceable.

Request a lot transaction from a supplier

Where: Lot Transactions > Supplier

  1. Click Create new Lot Transaction.

  2. Pick the Transaction Template, for example Certificate 3.1 or Test report. The Header and Subheader come from the template and can be edited.

  3. Select the Supplier and your Product. Both are required; the product's requirements are what the supplier's results will be checked against.

  4. Fill in what you know: Order number, Line number, Supplier order no., Supplier line no., Quantity & Unit, Delivery date, extra email recipients, custom fields and Notes. The delivery date is what reminders are based on.

  5. Click Request From Supplier. The arrow next to it offers Request From Supplier & Duplicate, to send the same request for another product or order straight away, and Request & Open, to open the request you just created.

The request now has status Requested . A supplier connected in ChainTraced sees it under their Lot Transactions > Customer; any supplier receives it by email if notifications are on.

Notifications and reminders are set per company under Company Settings, Lot Transaction Supplier Notifications & Reminders: an email when you create or update a request, and reminders before or after the delivery date while the request is still in Requested or Ongoing draft. Emails go to the addresses on the supplier's counterparty and any you added on the transaction. See Account setup and company settings.

Many requests at once

Use Import Lot Transactions, next to the create button, to upload a CSV file. Each row becomes one request; map the columns to the transaction fields in the mapping step. The product number in each row must already exist in your registry, otherwise that row is skipped. The import runs in the background: follow it under Tasks in the side menu, and you get a summary of how many transactions were created and how many were skipped.

Reuse a supplier's lot for your customer

When you approve a lot transaction from a supplier, its lot is available in your own Manufacturing Lots. If you sell that material on, you can link the same lot to a customer transaction with Link an existing lot, or start from the lot with Send to customer. The customer sees the lot data you share, not who your supplier is. Only lots in status Ready can be picked.
